# Create Approval Request

The Approval Workflow for External WhatsApp Templates ensures that templates are reviewed internally before being submitted to Meta for approval.

## Enable Approval Requests

Before using this feature, you must enable the approval request flow for external templates.

This includes:

- Configuring the approval workflow.
- Selecting the required reviewers.
- Defining the minimum number of approvals required before a template is considered approved.

This setup ensures that all External Templates go through a controlled review process before being submitted to Meta.

### Key Capabilities

With this feature, you can:

- Submit specific template languages for approval
- Request approvals from multiple reviewers
- Define a minimum number of approvals required
- Send approved templates to Meta
- Track approval status across languages
- Automatically send templates to Meta upon approval (optional)

## How It Works

1. Create or update a WhatsApp External Template.
2. Select specific template languages and submit them for approval.
3. An approval request is created and assigned to the selected approvers.
4. Approvers can approve or reject the request.
5. Once the minimum required approvals are received:
   - The template is marked as **Approved**.
   - If **Send to provider on approval** is enabled, the template is automatically submitted to Meta.

### If Automatic Submission Is Not Enabled

Approvers can choose to submit the template to Meta during the approval process.

> If multiple approvals are required, only the final approver can send the template to Meta.

If the approver does not submit the template, the requester can manually send it later.

You can also cancel an approval request at any point during the workflow.

## Language-Level Approval

Approvals are managed at the language level.

- Only languages with valid content can be submitted for approval.
- Languages containing errors or incomplete content remain in **Draft** status.
- Approval requests created for one language do not apply to other language variants.

## Approval Messages

You can include a message when:

- Requesting approval
- Approving a request
- Rejecting a request

> A message is mandatory when rejecting a request.

All approval-related messages are recorded in the audit log for traceability.

## Create an Approval Request

To initiate an approval request:

1. Open the template.
2. Click **Send to Provider**.

This opens the **Request Creation** window where you can configure approvers and submission settings.

1. **Select the Language Context**

   Ensure you are working on the correct language variant (for example, **English (IND)**).

   Approval requests are created per language and are not shared across other language variants.

2. **Open the Request Creation Window**

   Click **Send to Provider** to open the approval request modal.
3. **Select Approvers**

   Click the **Select Approvers** dropdown and choose one or more approvers.
   > The number of required approvers depends on the configured minimum approval setting. There is no fixed limit and can be any defined number.
4. **Add a Message (Optional)**

   In the **Write a Message** field, add any context or instructions for reviewers.

   **Example:** Please review for compliance and messaging tone.

   This message is visible to approvers during the review process.
5. **Choose Provider Submission Option**

   Enable **Send to provider on approval** if you want the template to be automatically submitted to Meta after approval.

   Leave this option disabled if you prefer to submit the template manually later.
6. **Submit the Request**

   Click **Request**.

   A confirmation message appears indicating that the approval request has been created successfully.
7. **Cancel Request Creation**

   Click **Cancel** to close the modal without creating the approval request.

### Rejection Result

- The approval request is marked as **Rejected**.
- The template must be updated before it can be resubmitted.

> If any one of the required approvers rejects the request, the entire request is marked as Rejected, regardless of the total number of approvers.

### Audit Log

The rejection action and the provided reason are recorded in the audit log to ensure complete traceability.

## Cancel an Approval Request

1. **Cancel the Active Request**

   The requester can cancel an ongoing approval request at any time.

   This allows additional edits before creating a new approval request.
